Data Protection Declaration for Frontiers of Research Symposia Attendees

I herewith agree to the Alexander von Humboldt Foundation collecting, processing and electronically storing my personal data for the purposes of the respective symposium.

I hereby consent to the following information which I have made available to the Alexander von Humboldt Foundation being included in a conference handbook and being made available to the participants of the symposium in electronic and printed form: first name, surname, portrait photo, contact information, e-mail address, telephone number, fax number where applicable, URL where applicable, field of research and specialism, abstract of the presentation (where applicable), abstract of the poster (where applicable), short biography.

I further agree to the publication of the following information on the AvH website for the symposium (applicable to organisers and speakers): first name, surname, institution, title of the presentation (only for speakers).

By confirming my attendance at the symposium, I furthermore consent to data relating to my person (surname, first name, academic title, field of research and specialism, gender, postal address, e-mail address, telephone number, fax number where applicable, URL where applicable) being permanently retained by the Alexander von Humboldt Foundation for the purpose of maintaining networks, reimbursing travel expenses, processing applications and for possible funding through the CONNECT follow-up contact programme and for purposes of statistics and evaluation by the AvH and its authorised agents in accordance with Article 28 of the General Data Protection Regulation (GDPR); the results of the evaluation will be published only in a cumulative, anonymised form.

I moreover agree to the information regarding me that has been published in the conference handbook being passed on to foreign partner organisations of the particular event for the purpose of conducting the event and, where applicable, to this information being permanently retained for maintaining the network in the future and, where applicable, for follow-up contact programmes.

In the event that I attend a symposium in a country where a visa is required, I also agree to my passport details (full name, date of birth, passport number, expiration date) being provided to foreign partner organisations for the purpose of preparing the necessary official letter of invitation.

I additionally agree to my personal data being passed on to the conference service providers of the Alexander von Humboldt Foundation for the purpose of preparing, conducting and following up the event. The personal data of the symposium participants that has been collected will be used solely for the purpose of having the individual’s participation booked by the service provider / symposium organiser, i.e. hotel reservations, transfer reservations, production of conference-related printed materials (conference handbooks, name tags, lists of participants) and for the reimbursement of travel expenses. All employees of our conference service provider have been obligated in writing to maintain confidentiality in accordance with Section 5 of the Federal Data Protection Act (BDSG) and to comply with this regulation. As a rule the conference service provider will erase your personal data eight weeks after the symposium, at the end of the contract at the latest; in other words, when the follow-up processing has been completed.

I have also been informed that my consent to the collection, processing and use of my data is voluntary and that I may revoke my consent at any time. Prior to the respective symposium I can send my revocation to anke.teubner@avh.de. In the event that I revoke my consent, my data will be erased.

Should I wish to revoke my declaration of consent at a later date after having attended the symposium, I can send my revocation to: info@avh.de. In this case, my data will be anonymised and my entitlement to apply to the Connect programme for follow-up contact expires. In addition, should my regular place of work be located outside of Germany, it will also no longer be possible to invite researchers from Germany as a host in the Feodor Lynen Research Fellowship Programme.
